# Thology | The workflow rollout checklist

Use this as a discussion tool with the process owner and delivery team. A project-specific plan determines the controls and requirements that actually apply.

## Scope and ownership
- [ ] The first workflow has a clear start, finish, and owner.
- [ ] Included users, records, channels, and systems are identified.
- [ ] Dependencies and known limitations are documented.
- [ ] The sponsor and process owner agree acceptance criteria.
- [ ] Additional work has an explicit scope and decision route.

## Information and access
- [ ] Each important record has an authoritative source.
- [ ] Test cases represent ordinary work and difficult exceptions.
- [ ] Business guidance is approved and has a maintenance owner.
- [ ] Roles and integration accounts have the required permissions.
- [ ] Unnecessary access is removed; access changes have an owner.
- [ ] Relevant retention and information-handling requirements are agreed.

## AI and actions, where included
- [ ] The agent's role and prohibited actions are explicit.
- [ ] Required approvals and reviewers are named.
- [ ] Reviewers can inspect evidence and correct or decline proposals.
- [ ] Missing, conflicting, and unfamiliar inputs have been evaluated.
- [ ] Permissions and tool actions have been tested, not only outputs.
- [ ] Corrections and material failures have a visible record.

## Operating readiness
- [ ] Representative users can complete the agreed tasks.
- [ ] Training uses realistic work and explains exceptions.
- [ ] Staff know how to report an issue and obtain help.
- [ ] Failed or stalled work has an owner and escalation path.
- [ ] Retries and recovery avoid duplicate actions.
- [ ] A fallback is agreed for important unavailable dependencies.
- [ ] Monitoring and support arrangements match the agreement.
- [ ] The release decision and any outstanding issues are recorded.

## Review after launch
- [ ] Baseline and measurement methods are recorded.
- [ ] Usage, quality, review effort, cost, and business outcomes are considered.
- [ ] The first operating review has an owner and date.
- [ ] Conditions to pause, adjust, or expand are clear.
- [ ] New scope is agreed before further responsibilities are added.
